Important Visitor Information

This is a family-friendly outdoor event. Guests are encouraged to dress comfortably and prepare for the weather.

No outside food or drinks are permitted. Food and beverages will be available from vendors at the event.

No hookah pipes, hubbly bubbly pipes, illegal substances, weapons, fireworks, glass bottles, dangerous items, or items that may cause harm or disruption are permitted.

Guests are expected to respect the venue, vendors, performers, security, staff, organisers, and other visitors at all times.

Right of admission is reserved.

Photography and Video Notice

Photography and videography may take place during the event for marketing and promotional purposes.

By attending the event, guests acknowledge that they may appear in photos or videos shared by Together We Grow Events.

Important Vendor Booking Notice

Please note that all vendor bookings for Together We Grow Events must be made only through our official website or directly through Roshnie.

To protect our vendors from scams, please do not make payments or send personal information to anyone claiming to book stalls on behalf of Together We Grow Events unless they are listed on our official website or confirmed by Roshnie.

Together We Grow Events will not be responsible for payments made to unauthorised individuals or third parties.

Vendor Terms & Conditions

By submitting a vendor application for the Together We Grow Diwali Market, taking place from 6 to 8 November 2026, you confirm that all information provided is accurate and complete, and you agree to be bound by the following Terms & Conditions.

1. Event Dates, Access & Setup

  • The Diwali Market will take place from Friday, 6 November 2026 to Sunday, 8 November 2026 at the Pretoria National Botanical Gardens.
  • Vendors are expected to trade for the full three-day event unless otherwise agreed to in writing with the organiser.
  • Vendor setup and access times will be communicated by the organiser before the event.
  • Vendors must ensure that their stalls are fully set up and ready for trading before the official opening time on each day.
  • The organiser is not responsible for denied access due to failure to meet venue or security requirements.
  • Access requirements for staff, assistants, family members, or other persons assisting at a stall must be requested and confirmed in advance.

2. Trading Hours & Breakdown

  • Vendors must adhere to the official trading hours communicated by the organiser for each of the three event days.
  • Vendors may not close, dismantle, or remove their stall during official trading hours without prior approval from the organiser.
  • Final breakdown may only begin after the official closing time on Sunday, 8 November 2026, unless otherwise instructed by the organiser.
  • Vendors who pack up early without prior approval may be excluded from future Together We Grow events.

3. Stall Allocation & Equipment

  • Each approved vendor will be allocated a stall position by the organiser.
  • Vendors will retain the same allocated stall position for all three days of the event.
  • Stall placement and the overall market layout are determined solely by the event organiser.
  • Vendors may not move, swap, expand, or relocate their allocated stall without prior approval from the organiser.
  • Certain food and beverage vendors may be required to trade in designated outdoor or food trading areas.
  • Vendors are responsible for supplying their own gazebo, tables, chairs, food trailer, display equipment, and extension leads where applicable, unless otherwise agreed with the organiser.

4. Electricity & Power Usage

  • Electricity requirements must be declared at the time of application.
  • All electrical appliances and equipment requiring power must be listed for planning and safety purposes.
  • Power availability is limited and is not guaranteed unless confirmed by the organiser.
  • Vendors may not use electrical equipment that was not declared or approved where this may exceed the available electrical capacity.

5. Conduct, Cleanliness & Safety

  • Vendors must maintain a clean, safe, and professional trading space at all times.
  • Vendors are responsible for keeping their allocated stall area clean throughout the three-day event.
  • All waste must be removed or disposed of in accordance with the organiser and venue requirements.
  • Respectful conduct toward customers, organisers, venue staff, and other vendors is mandatory.

6. Vendor Fees, Payments, Cancellations & Refunds

  • The vendor fee is R3,000.00 per stall for the full three-day event.
  • The R3,000.00 fee covers the vendor's allocated stall position for 6, 7 and 8 November 2026.
  • Vendor fees are non-refundable.
  • No partial refunds will be issued where a vendor elects to attend only one or two days of the event.
  • No refunds will be issued for no-shows, late arrivals, early departures, or weather-related disruptions.
  • Failure to attend without notice may affect approval for future Together We Grow events.

7. Liability

  • Vendors participate at their own risk.
  • The organiser accepts no responsibility for loss, theft, damage, or injury to persons, stock, equipment, or other property.
  • Vendors are responsible for their own insurance, permits, licences, and compliance with all applicable regulations.
